How to Scan Your Signature for an Online Form (White Background, Small File)

October 30, 2026 | Tool

Application forms often want a signature image on a clean white background with a tight file size. You can make one with a pen, paper and a phone.

Steps

  1. Sign with a black or dark blue pen on plain white paper, with no lines.
  2. Take the photo in even daylight, straight on, with no shadow from your hand.
  3. Crop close to the signature so it fills the frame.
  4. Resize and compress it to the size in your form, using the exam photo and signature resizer or resize image to 300x80.

Tips

  • Do not use a typed or stylus-drawn signature unless the form allows it.
  • Keep the same signature you use on your documents.
  • If the file is rejected as too large, use compress image to 20 KB.

Getting a clean result

Paper and pen. Use plain white paper with no lines and a dark pen. Pencil and light-blue ink look faint once compressed. Sign slowly in your normal style, since the form expects your usual signature.

Lighting. Lay the paper flat on a table near a window. Hold the phone directly above it so the camera is parallel to the paper. Avoid your own shadow and avoid the flash, which creates bright patches.

Cropping. Crop so the signature fills most of the frame with only a thin margin. This matters because many forms ask for tiny images such as 140 x 60 pixels or 300 x 80, where empty space wastes room.

Contrast. If the paper looks grey, raise brightness a little in your phone editor, but do not apply filters that change the shape of your signature.

Common limits you will meet

  • Bank recruitment: 140 x 60 pixels, 10 to 20 KB.
  • NEET: JPG, 4 to 30 KB.
  • Many job forms: about 300 x 80 pixels and under 20 to 50 KB.

Frequently asked questions

Can I draw a signature on my phone?
Only if the form allows a digital signature. Many exam forms reject them, so a scan of handwriting on paper is safer.

Should the background be pure white?
Near white is fine. Compression tolerates slight grey but not heavy shadows.

What if the file is too big?
Use the resizer for your exam, or compress to the required KB.
